Mark's Guide to Installing a Warehouse Server

This blog is intended to remove some of the confusion when installing the warehouse, concentrating on those parts that generally cause the most problems. It does not provide step by step instructions but is presented as a guide with a few tips thrown in.

Please make sure to read the appropriate Administrators Guide for more detailed instructions prior to installing a Warehouse Server. The Administrators Guide includes links to Knowledge Base articles so access to the Internet is required.

You will also need to read the appropriate TheRecord Manager User’s Guide for more information on configuring the warehouse.

Licensing

The first thing to do when installing a warehouse is to purchase the required licences from your local FTR Reseller. This seems to be the first place that people get confused so please read the following information.

When purchasing TheRecord Manager – Warehouse Edition you are acquiring a minimum of 1 Warehouse Client license to be used with the included Warehouse Server. You will need to purchase an additional Warehouse Client license for each additional installation.

With Warehouse Client installed on a computer, users can retrieve recordings and log sheets that are stored in the warehouse, using the optimised indexing features of the Warehouse Server.

An FTR Reporter computer does not require the Warehouse Client to be installed for recordings and log sheets to be replicated. However, a Warehouse Client must be installed somewhere on the network so that each installation of FTR Reporter (or FTR Reporter Server) can be configured remotely to replicate to a warehouse.

If an FTR Reporter computer is also used to create log sheets and the user is required to access other recordings and log sheets from a warehouse, it is necessary to install the Warehouse Client.

FTR Reporter Installation

When installing FTR Reporter in a Warehouse environment, perform the installation as per the FTR Reporter Setup Guide for your version of FTR Reporter. However, do not configure archiving. The most common mistake people make in configuring FTR Reporter in a Warehouse environment is to use the archive tab in FTR Reporter to configure replication. This results in the archived content not being accessible through the warehouse. To configure replication in a warehouse environment, you must use the Replication Panel in TheRecord Manager.

If the computer requires access to recordings and log sheets from a warehouse, proceed to install the Warehouse Client as per TheRecord Manager – Warehouse Edition Setup Guide.

You can perform the installation of FTR Reporter before or after the installation of the Warehouse Server.

FTR Reporter Server Installation

If you are installing FTR Reporter Server on Windows Server 2008 please make sure to add the .Net Framework 3.5.1 and Desktop Experience Features prior to installation as per KB00207. This is a very common mistake people make. If you do not do this you will receive a message about ContentConverter.dll failing to register during installation - similar to the message below.

When installing FTR Reporter Server in a Warehouse environment, perform the installation as per the FTR Reporter Server Setup Guide for your version of FTR Reporter Server. To configure replication to a warehouse you must configure it via the Replication Panel in TheRecord Manager.

You can perform the installation of FTR Reporter before or after the installation of the Warehouse Server.

FTR Log Notes Installation

When installing FTR Log Notes in a Warehouse environment, perform the installation as per the FTR Log Notes Setup Guide for your version. Once FTR Log Notes is installed proceed to install the Warehouse Client as per TheRecord Manager – Warehouse Edition Setup Guide.

You can perform the installation of FTR Log Notes before or after the installation of the Warehouse Server.

​Once installed and configured you will need to set your log sheet save location to the warehouse as per the user guide, so that any log sheets created will be saved and indexed to the warehouse server.

FTR Monitor Installation

When installing FTR Monitor in a Warehouse environment, perform the installation as per the FTR Monitor Setup Guide for your version. Once FTR Monitor is installed proceed to install the Warehouse Client as per TheRecord Manager – Warehouse Edition Setup Guide.

You can perform the installation of FTR Monitor before or after the installation of the Warehouse Server.

​Once installed and configured you will need to set your log sheet save location to the warehouse as per the user guide, so that any log sheets created will be saved and indexed to the warehouse server.

TheRecord Player Installation

TheRecord Player will be automatically installed during installation of FTR Log Notes, FTR Monitor and FTR Reporter.
When installing only TheRecord Player in a Warehouse environment, install TheRecord Player from the product installation disc or from the web download. Once TheRecord Player is installed, proceed to install the Warehouse Client as per TheRecord Manager – Warehouse Edition Setup Guide.

You can perform the installation of TheRecord Player before or after the installation of the Warehouse Server.

Warehouse Server Installation

If you are installing TheRecord Manager - Warehouse Server on Windows Server 2008 please make sure to add the .Net Framework 3.5.1 and Desktop Experience Features prior to installation as per KB00207. This is the most common mistake people make. If you do not do this you will receive a message about ContentConverter.dll failing to register during installation similar to the message below.

Install the Warehouse Server as per the instructions in the Administrators guide for your version of TheRecord Manager – Warehouse Edition.

Configuring a Warehouse Server

Once the Warehouse Server is installed it needs to be managed. Warehouse management is provided from the Warehouse Panel of TheRecord Manager.

Note: The Warehouse Panel is one a several Administration Panels that are available when the Warehouse Client is installed. Be sure to select the Administration Panels check box when installing the Warehouse Client. Refer to TheRecord Manager – Warehouse Edition setup guide for details.

Using TheRecord Manager – Warehouse Panel, add the warehouse server that you just installed. Refer to Manager User’s Guide for information on adding a warehouse.

Once the Warehouse has been added you can add one or more Warehouse Folders, which will be used as replication destinations for the various recording devices that replicate to the warehouse.

By default the warehouse server installation creates and shares one warehouse folder on the warehouse server called FTR Content. This will be available as a warehouse folder in the Warehouse Panel. You can use this folder, delete it or add extra folders as required.
When adding a warehouse folder make sure to use an account with read/write permissions to the selected folder. This is the account that will be used to replicate content. Refer to TheRecord Manager User’s Guide for information on adding warehouse folders. You can add as many warehouse folders as you like.

The following factors should also be considered:
  • If you are configuring the warehouse in a Novell environment make sure to read KB00017
  • If you are configuring the warehouse in a workgroup environment make sure to read KB00016
  • If you are archiving to a NAS make sure to read KB00204
  • If you have existing content in any of your warehouse folders you will need to run the Warehouse Synchronizer tool (This can be found in the Start Menu under ForTheRecord) over your existing content to synchronise it within the warehouse database. See the Administrators Guide for details.
Configuring Replication

Use the Replication Panel in TheRecord Manager to configure the replication destinations for each recording device that replicates to the warehouse. DO NOT use the Archive Options tab in FTR Reporter to configure replication.

Tip: If you have a lot of FTR Reporter computers, you can simplify replication configuration by placing them all in a computer group within Microsoft Active Directory. You can then use the Add Recorder Group to add and configure all of these Reporters in one step. This method only works for standalone recorders and does not work with FTR Reporter Server. Please refer to TheRecord Manager User’s guide for more information on adding recorders.
  • If you are adding Legacy recorders such as FTR Gold 2.2 TheRecord Reporter 3.3 please refer to KB00007 for additional instructions
Configuring Warehouse Search Folders

If the Warehouse Client has been installed on a computer so that users can access recordings and log sheets stored in a warehouse, it is necessary to add the warehouse as search folder.

Search Folders can be added in a number of ways but the simplest method is to use TheRecord Player. Please refer to TheRecord Player help or User’s Guide for details on adding a Warehouse Search Folder.

When adding a search folder that point to the warehouse, be sure to select the Warehouse option when asked to select the type of search folder you want to add.

If you are working in a warehouse environment the Warehouse Search Folder would typically be the preferred location for accessing FTR content. For this reason it is normal practice to move the Warehouse Search Folder to the top of the Search Folders list when it is added.

Note: Search Folders can also be managed from FTR Log Notes and FTR Monitor using the Search Log Sheets dialog box. They can also be managed in TheRecord Manager when processing FTR content. See the relevant guides or help for details.

Common Issues
When running the sync tool you may receive an error regarding the log sheet updater service not being able to stop and processing of log sheets doesn't occur, to solve this issue, manually stop the log sheet updater service and run the sync tool again, once the tool has finished restart the log sheet updater service

When adding a recorder to the replication panel you may receive an error stating that an error occurred while attempting to contact the new replicator, under more info it will have a message mentioning that no endpoint is listening. This is generally caused by the FTR Replicator Configuration Service not running, to solve the issue manually start the replication configuration service on the recorder.

You may receive an error running the sync tool where it will stop indexing, this will be accompanied by a message stating 'Error creating window handle.' If you experience this issue please contact support for a fix.
